It is extremely important that you, our clients, accept and understand the Terms and Conditions as all the contents in this page before you book any tour. By booking a tour with West China Adventures (WCA) it is understood that you understand and agree to the Terms and Conditions below.
Reservation & Deposit
At the time of booking confirmation a deposit of USD500 per person will be needed, accompanied by a signed booking form. Deposit and booking form must be received by WCA within 7 days of confirmation. Final payment is due in full 70 days prior to departure, if booking is made within 70 days full payment must be done immediately once confirmed. If for any reason payment is not done by WCA by the due date, we reserve the right to regard your booking as cancelled and cancellation charges will then be applicable. WCA accepts no responsibility or liability whatsoever in respect of any payment made by you to your travel agent. Payment is classed as being made only when it is actually received by WCA.
Cancellations & Refunds
The initial deposit is refundable up to 60 days before departure less a handling fee USD150 per person. There is no refund after the 60-day period unless your place is resold, the only USD150 per person handling fee is withheld. There are no refunds for unused meals or other tour features.
Itinerary and Accommodation
On occasion it may be necessary to amend arrangements due to operational necessity and we reserve the right to do so at any time (i.e., due to airline rescheduling flight departures so they may not suit arrangements on the ground). Most of these changes are very rare but where necessary we undertake to inform you either directly or through the clients’ travel agency. If your itinerary needs to be altered for reasons beyond our control we reserve the right to vary your itinerary. If the variations are materially different from your requested itinerary you reserve the right to withdraw from your vacation and WCA will refund all payment received from you. We recommend you have your travel agent inform you at all times of changes to your itinerary.
Prices in our tour programs are based on tariffs and rates of exchange at the time of publication and are quoted in American dollars. All prices are subject to currency fluctuation and changes of service provider’ tariffs. WCA will contact our client and/or travel agent to advise any changes of price. We do not accept responsibility if your travel agent fails to pass price change information on to our clients. We reserve the right to change tour prices at any time.
All vacation prices are quoted on the basis of a minimum number of 10 adults traveling together in double occupancy accommodation as stated on each tour. Should the minimum numbers not be WCA reserves the right to cancel, amend or re-cost the tour. In such rare cases we will endeavor to provide our clients with the best possible alternated or amended tour, or ask for payment of a very reasonable surcharge. If WCA cancels the tour altogether all received tour costs will be refunded in full.
If a single travel is requested it must be done at the time of booking and WCA will endeavor to match the client with a suitable person for the tour duration. If no match can be made a single supplement charge will be payable to WCA. Single supplement charge will be payable by all clients who choose to travel on tour with single traveler arrangements.
All clients must have got a valid passport. WCA accepts no responsibility for the client’s failure to obtain appropriate documentation. On request WCA may assist with you to obtain entry visas to the country of intended entry. You may also ask your travel agent to assist in this matter.
West China Adventures’programs act only as agents for the passenger with respect to transportation and hotels, and exercise every care possible. However, we can assume no liability for injury, damage, delay, loss, accident or irregularity in connection with the services of any airplane, ship, motorcoach, or any other conveyance used in carrying out the arrangements of the tour. We cannot accept any responsibility for losses or additional expense due to delay or changes in air or other services, sickness, weather, strike, war, quarantine, acts of God, terrorism, or other caused beyond our control. All such losses or expenses will have to be borne by the passenger, as tour rates provide for arrangements only for the time stated .We reserve the right to substitute another leader of similar expertise or to cancel any tour prior to departure , in which case the entire payment will be refunded with no further obligation on our part. The right is also reserved to decline to accept or retain any person as a member of the tour. No refund will be made for the unused portion of any tour unless arrangements are made in sufficient time to avoid penalties .The price of the program is based on current tariffs and rates, and is subject to change. Any tariff, exchange rate, or fuel increases will be passed on to participants. Baggage is carried at the owner’s risk entirely. It is understood that the airticket when issued shall constitute the sole contract between the passenger and the airline concerned .The airlines concerned are not to be held responsible any act, omission, or event during the time passengers are not on board their plane or conveyance.
It is the client’s responsibility to avail themselves with information regarding health requirements in the intended country of entry. Health declaration is strongly required in written paper with your signature.
We strongly recommend at the time of booking tour participants obtain the appropriate travel insurance policy of your choice, including cover against tour cancellation as recommended by WCA or your travel agent.
Items of personal nature such as incidental hotel charges, telephone calls, room service, and the like are at your own expense and must be paid prior to checking out of each hotel. Tour costs quoted exclude items not specifically referred to in the tour description including, but not limited to: travel insurance, airport taxes, airport construction taxes, excess baggage charges, portage, travel arrangements to and from home town and departure city, item of personal nature such as laundry, dry cleaning, beverages, incidental expenses, optional tours offered by China agents, meals (where not specified) and telecommunication charges.
